Calon Memorial Care respects your privacy. This policy explains what information we collect, why we collect it, and what we do with it. We have tried to write it plainly rather than in legal language.

Who we are

Calon Memorial Care is a memorial care service based in Cardiff, Wales, providing grave cleaning and maintenance across Cardiff and the surrounding area.

What information we collect

When you complete our enquiry form, we collect:

• Your name and email address
• The country you are based in
• The cemetery name, plot number and the name on the memorial, where you provide them
• The service you are interested in
• Anything else you choose to tell us in your message

If you become a customer, we will also keep records of the work carried out, the photographs we take, and correspondence between us.

Why we collect it

We use your information solely to:

• Respond to your enquiry and answer your questions
• Provide a quote and carry out any work you ask us to do
• Locate the correct memorial
• Send you photographs and reports of our visits
• Keep proper business and accounting records

We do not use your information for anything else without asking you first.

Information about people who have died

To carry out our work we need details of the person whose memorial we are caring for — usually their name, dates, and where they are buried. We treat this information with the same care and respect as we treat the memorial itself, and use it only to locate and tend the grave.

Photographs of memorials are taken for your benefit, so you can see the work has been done. We will not publish any photograph of a memorial on our website, social media or marketing materials without the permission of the family concerned.

Who we share information with

We keep your information to ourselves, with these necessary exceptions:

• Cemetery authorities — where we need to confirm a grave location or arrange access on your behalf, we may need to share the name of the deceased and burial details
• Our form provider — enquiries submitted through our website are processed by Web3Forms, who deliver the message to our inbox
• Our email provider — correspondence is held in our email account, hosted by our domain provider
• Where the law requires it — for example, to meet tax and accounting obligations

How long we keep it

If you enquire but do not go on to become a customer, we keep your enquiry for up to two years in case you get back in touch, and then delete it.

If you become a customer, we keep records of the work and the associated correspondence for as long as necessary to provide the service, and afterwards for the period required for tax and accounting purposes.

You can ask us to delete your information sooner. See below.

Your rights

Under UK data protection law you have the right to:

• Ask what information we hold about you
• Ask us to correct anything that is wrong
• Ask us to delete your information
• Ask us to stop contacting you
• Object to how we are using your information
• Complain to the Information Commissioner's Office if you are unhappy with how we have handled your data

To exercise any of these, simply email us. We will respond within one month, and there is no charge.

Cookies and website analytics

Our website does not set advertising or tracking cookies. If we introduce website analytics in future to understand how visitors use the site, we will update this policy to say so.

Our website is hosted by Netlify, whose servers keep standard access logs.

Keeping your information safe

We take reasonable steps to keep your information secure, including using a secure (HTTPS) website and password-protected accounts. No system is completely secure, but we treat your details with care and share them no more widely than necessary.

Changes to this policy

If we change how we handle information, we will update this page and change the date at the top.
